Job Description – National Director

Employment status: Regular, Hybrid full-time 40+ hours a week, salaried exempt.
 
Typical work schedule, Tour: The National Directors work schedule is Monday- Friday 8-5:00pm PT with ability to be onsite at assigned event venue locations (5-10 regional cities/national events), typically traveling with some work on Thursdays, working at the event on Fridays and Saturdays, with some work with travel on Sundays.  The event work hours are as scheduled, but may start early in the mornings, end late in the evenings or a combination of split shifts based on event.

Travel: Travel is required for National Directors to attend 5-10 regional cities and national events throughout the season.  The National Director will not be required to share hotel rooms during the regional weekends, however during the national events the National Director will be required to share a room.  If assigned to travel internationally, the ability to obtain and maintain a passport is important.


Summary of the Position: We are seeking an experienced and highly organized National Director to lead a team and be responsible for the planning, organization, and execution of dance conventions and competitions nationally (typically 20-30 events per season). The successful candidate will be responsible for managing all aspects of convention planning, including budgeting, vendor management, scheduling, and logistics. The ideal candidate will have experience in leading a team and dance event management and be passionate about creating exceptional experiences for dancers and audiences alike.

Event Planning and Scheduling:
  • Work with Convention Managers to create weekend competition and workshop schedules; ensure timely posting of schedules for applicable parties.
  • Collaborate with the Artistic Director/Tour Director to handle bookings and last-minute scheduling needs for Faculty/Guest Faculty, and Judges/Guest Judges weekly.
  • Manage Demonstrator and Registration Desk bookings and address any last-minute scheduling needs weekly.
  • Conduct weekly meetings with the Tour Director to complete judging schedules.
  • Oversee all scoring (adjudicated, high scores, special awards, etc.) and scholarships for each weekend (onsite or remotely if not traveling).
  • Collaborate with Convention Managers to complete the weekly payroll schedule.
  • Oversee and assist Convention Managers in the preparation of Schedule Previews and Info.
  • Coordinate with Production and Event Planners for early competition starts and any Stage 2 weekends (e.g., earlier load-ins, room diagrams).


Staff and Client Management:
  • Lead and supervise Convention Managers, Assistant Convention Manager, and weekend tour staff of 5+ members.
  • Work with the Office Manager regarding waitlist entries, sold-out cities, and general questions/concerns.
  • Enhance studio relationships by emailing/calling/zooming with all clients generating more than $10k in revenue in collaboration with Convention Manager and Tour Director.
  • Collaborate with the Social Media Manager to promote/post appropriately.
  • Available during weekends (remotely or onsite if traveling) to oversee and answer questions from Convention Managers and/or Tour Director.
  • Provide hands-on training to the Convention Manager and Assistant Convention Manager to help them deliver flawless events and experiences for our customers.
  • Verify unconfirmed studios in Stats.

Logistics and Operations:
  • Work with Convention Manager, Assistant Convention Manager, and/or Event Staff to oversee and approve hotel comps/VIP rooms and resolve any rooming list issues.
  • Collaborate with the Executive Director on all orders for printing, awards, wristbands, etc.

Additional Responsibilities:
  • Assist in other tasks as required to ensure the successful execution of events.

Required Skills & Knowledge:

Highly Detail-Oriented with Excellent Organizational Skills:
  • Proficient in Word, Excel, Google Workspace, Publisher, Teams, Zoom, and database systems.
  • Strong organizational skills and the ability to manage multiple assignments simultaneously.
  • Review the monthly budget and approve teams' T&E expenses while adhering to spending/policies.

Critical Thinking:
  • Logical reasoning to solve problems considering costs, consequences, and benefits is important.
  • Prioritization and urgency for items needing immediate attention.
  • Adaptable and flexible to achieve targets.

Professionalism and Social Presence:
  • Professionalism in speaking, writing, and appearance is important.
  • Maintains confidentiality and awareness of interactions' impact on employees, dancers, families, and the public.

Education and Experience:
  • Bachelor’s degree in business, event management, or related field.
  • Experience leading a team.
  • 7+ years’ experience in event management, preferably in dance events or experience in entertainment, music, live theatre, or live production preferred.
  • Knowledge of the dance convention business is a plus.

Physical, Community & Environment:
  • Physical requirements of this position include but are not limited to computer screen time, sitting, standing, walking, bending, pushing/pulling and lifting up to 30 lbs. unassisted, fine motor skills, visual and hearing abilities.
  • Keyboarding and screen time, and use of general office equipment.

  • While working at an event, there will be exposure to loud music, and dark work areas with professional lighting to correspond with our customers' dance music.
